01Who we are
Mount Vernon ("Mount Vernon", "we", "us") is an independent creative collective and record label. This policy covers everything we run:
- mtvernon.co: our website, music store and merch shop;
- creator.mtvernon.co: the Mount Vernon Artist Portal and Creator Suite for our artists;
- presave.mtvernon.co (Presave) and dm.mtvernon.co (Smart Reply): tools our artists use to reach their fans.
Questions or requests about your data go to [email protected].
02What we collect
If you visit the site
- What you send us: your name, email and message when you use a form (booking, applications, contact), and your email if you join our newsletter.
- Basic server logs: IP address, browser and the pages requested, kept for security and to fix problems.
- Cookies: only the ones the site needs to work (staying logged in, "keep me signed in", and small preferences saved in your browser). We don't use advertising trackers or sell data to anyone.
- Embedded players: YouTube, SoundCloud and Spotify players on our pages are run by those companies and follow their own privacy policies.
If you buy music or merch
- Your email, what you bought and the order details. Payments are handled by PayPal (or the checkout shown at purchase). We never see or store your card number.
If you're a fan who pre-saves or joins an artist's list
- Your email and name, and, when you pre-save with Spotify, your basic Spotify profile and permission to add that release to your library on release day. The artist you signed up for can see and email their list. Every email has an unsubscribe link.
If you message or comment on an artist who uses Smart Reply
- Your Instagram username and the comment, story reply or message that triggered the reply, so the artist's auto-reply can answer you. Nothing else from your account.
If you're an artist with a portal account
- Your name, email, password (stored only as a one-way hash) and artist profile.
- For payouts: the PayPal account you log in with (email, PayPal ID and name), and your sales and payout history.
- Releases you upload to the store, email lists you import, and what you do in Creator Suite tools (pitches you mark as sent in Playlist Guard, playlists you check, and so on).
03Accounts you connect
In What's Hot? artists can connect their music and social accounts so the portal can show how their songs, videos and reels are doing. Connecting is optional, read-only and can be undone at any time.
| Platform | How | What we read |
|---|---|---|
| Spotify, Apple Music, SoundCloud | Your public artist link | Public numbers only: followers, your songs and releases, popularity / play counts. |
| YouTube | Your channel handle, or Log in with Google | Your channel, videos and Shorts with views, likes and comments. With login: YouTube Analytics totals of your audience's age, gender and countries (permissions: youtube.readonly, yt-analytics.readonly). |
| Log in with Instagram | Your profile, followers and reels with views, likes, comments, shares and saves, plus totals of your followers' age, gender, countries and cities (instagram_business_basic, instagram_business_manage_insights). | |
| Log in with Facebook | The Page you manage, its videos with views and reactions, and totals of its fans' age, gender, countries and cities. | |
| TikTok | Log in with TikTok | Your profile, follower and like counts, and your videos with views, likes, comments and shares (user.info.basic, user.info.profile, user.info.stats, video.list). |
- You log in on the platform's own page. We never see your password.
- We store the access key the platform gives us, encrypted, and use it only to read the numbers above, about once a day.
- Audience data arrives as totals and percentages. We don't get, and never ask for, the identity of individual followers or viewers.
- We never post, comment, message or change anything on your accounts through What's Hot?. (Smart Reply is separate: it only sends the auto-replies you set up there, under the permissions you grant it.)
Google user data. Mount Vernon's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We use YouTube API Services: by connecting YouTube you also agree to the YouTube Terms of Service, and Google's handling of your data is covered by the Google Privacy Policy. You can remove our access any time at myaccount.google.com/permissions.
04How we use it
- To run what you asked for: your portal account, payouts, store orders, pre-saves, email lists, Smart Reply and the Creator Suite tools.
- To show artists their own numbers and suggestions (which song or video is heating up, what to support, where their audience is).
- To send you emails you signed up for, and account emails (password resets, payout notices).
- To keep things secure: stopping fraud, abuse and break-ins.
We do not sell your personal information, use it for advertising profiles, or use data from connected platforms to train AI models. Data from a connected account is only shown to that artist and to the Mount Vernon team members who support them.
06How long we keep it
- Connected accounts: until you disconnect. Disconnecting deletes the access key and every number and audience total from that platform straight away.
- Portal accounts: while your account is open. When it's closed we delete it within 30 days, except sales and payout records, which we keep for up to 7 years for tax and accounting.
- Newsletter and fan lists: until you unsubscribe or the artist removes you.
- Server logs: up to 90 days.
07Your choices and rights
Wherever you live, you can ask us to show you the data we have about you, correct it, delete it, or stop using it for something. Email [email protected] and we'll answer within 30 days. We won't treat you differently for asking.
- Disconnect any platform in the portal under Settings → Connected accounts, or remove Mount Vernon from the platform's own app settings. See Data deletion for each one.
- Unsubscribe from any email with the link at the bottom.
- If you're in the EU, UK or California, you have these rights under the GDPR, UK GDPR or CCPA/CPRA, and you can also complain to your local data protection authority.
08Security
Passwords are hashed, platform access keys are encrypted, the site runs only over HTTPS, and only the people who need it can see account data. No system is perfect, so if something ever goes wrong we'll tell affected people quickly.
09Children
Our services aren't meant for children under 13, and we don't knowingly collect their data. Artists under 18 need a parent or guardian to agree to our Terms with them. If you think a child has given us information, email [email protected] and we'll delete it.
10Where data is stored
We're based in the United States and our servers are there. If you use our services from elsewhere, your information is transferred to and handled in the U.S. under this policy.
11Changes
If we change this policy we'll update the date at the top, and for big changes we'll tell artists in the portal or by email before they take effect.
